Contact Groups and Bulk Email: Replace Mailchimp for Internal Communications

The Tool Sprawl Problem

Most teams use one tool for email (Gmail/Outlook), another for CRM (HubSpot/Salesforce), and a third for newsletters (Mailchimp/Sendinblue). Three tools, three logins, three bills, three places where contact data gets out of sync.

For teams sending fewer than 10,000 emails/month — which is most small and mid-size businesses — this is massive overkill.

What Contact Groups Do

Contact groups in RokMail are simple: create a group, add contacts, send an email to everyone in the group. No drag-and-drop editor, no landing page builder, no A/B testing — just reliable bulk email from your own domain.

  • Client newsletters: Monthly updates to all active clients
  • Vendor announcements: Policy changes, holiday schedules
  • Team updates: Company-wide memos (yes, some teams still email these)
  • Event invites: Webinars, meetups, conferences

How It Works

  1. Create a group: Dashboard → Contact Groups → New Group (e.g., "Active Clients")
  2. Add contacts: Add individually, import from CSV, or auto-add from incoming emails
  3. Compose: Click "Send to Group", write your message, use a template if you want
  4. Send: RokMail queues the emails and sends them through your domain's SMTP (or AWS SES if configured)

Why Your Own Domain Matters

Emails from you@yourdomain.com land in inbox. Emails from you@mail.mailchimp.com land in the Promotions tab (or worse, spam). When you send bulk email from your own domain with proper SPF, DKIM, and DMARC, recipients see a familiar sender. Open rates are 2–3x higher compared to third-party senders.

Staying Within Limits

RokMail tracks your monthly email usage against your plan limit. If you're approaching the cap, you can purchase email add-ons (blocks of 500 or 1,000 extra emails) without upgrading your entire plan. The system checks limits before each bulk send so you never accidentally exceed your quota.

When to Still Use Mailchimp

If you need advanced marketing automation — drip campaigns, behavioral triggers, landing pages, detailed open/click analytics — a dedicated marketing platform is still the right choice. Contact groups are for straightforward bulk sending, not marketing automation.
